Employment Position: Medical Office Administrator, Permanent Full-Time

Location: Dr. Nichole Currie Medicine Profession, Haileybury Family Health Team, 
95 Meridian Avenue, Haileybury, On


Work hours: Monday – Thursday 8:30am-4:30pm; Friday 8:30am-12pm
Start Date: October 6th, 2025 (tentative/negotiable)

The practice of Dr. Nichole Currie at the Haileybury Family Health Team is seeking a permanent, full-time
Medical Office Administrator. We are a supportive team, dedicated to providing excellent care to our
patients in a warm, professional, respectful and inclusive environment. Our healthcare team consists of
administrative staff, family physicians, nurse practitioner, registered nurses, social workers,

psychologist, registered dietitian (virtual) and respiratory therapy.

The Medical Office Administrator position plays a critical role in the effective functioning of our office.
They are reliable, enthusiastic and self-motivated to ensure efficient and professional running of the
office with excellent administrative skills and an ability to work in a fast-paced, multi-tasking

environment.

In planning for an upcoming retirement, you will spend 6-8 weeks working alongside our current
Administrator for orientation time and learning the variety of skills, responsibilities and duties required

to continue independence in this role.

The practice includes family medicine clinic, prenatal clinic and obstetrical & gynecology consults within a variety of practice settings include clinic, home visits and Temiskaming Hospital.

Qualifications:
- High school diploma.
- Medical Office Administration diploma or equivalent experience.
- Previous experience in a medical office or healthcare setting with proficiency in medical

terminology is an asset.

Skills and Attributes:
- Proficiency in English, both verbal and written. Proficiency in French is an asset.
- Excellent communication skills are essential to communicate effectively with patients and other

healthcare professionals and staff.
- Strong interpersonal skills, including respect, compassion and conflict management.

- Strong skills in working independently with integrity and motivated for self-learning.
- Strong organizational and prioritizing skills are necessary to manage multi-tasking of patient

interactions and administrative duties simultaneously.

- Strong skills in using electronic medical records (EMR) systems and other software applications
including Microsoft Office.
- Maintain privacy, confidentiality and document standards according to PHIPA (Personal Health
Information Protection Act) and PIPEDA (Personal Information Protection and Electronic
Documents Act).


Duties & Responsibilities:

- Maintain an efficient flow and coordination between physician, patients and other healthcare
professionals.
- Organizing and booking of clinic visits, consults and procedures including communication and
organizing of OR bookings with Temiskaming Hospital.
- Greet patients attending for appointments and escorting to exam rooms.
- Taking patient heights and weights as needed, preparing patients for examination as needed.
- Ensure a clean and organized reception area and exam rooms.
- Re-stocking of exam room supplies.
- Manage appointment scheduling within the EMR system. Ability to cope with sudden and
unexpected changes in schedule and rescheduling of appointments.
- Answer phone calls and respond to inquiries from patients and other healthcare clients.
- Accurate documentation within the patient medical record.
- Manage incoming and outgoing faxing of documents.
- Manage scanning of documents into the patient medical record.
- Process incoming results, process referrals, requisitions and medical forms.
- Filling out applicable sections of medical/insurance forms and handling correspondence.
- Billing (OHIP) and Invoicing (private/non-OHIP); handling payments for uninsured services.
- Other duties as needed.


Salary: 25.00 to 30.00 hourly (To be negotiated) / 30 to 35 hours per week.
Salary, benefits and vacation depending on applicant’s previous education and work experience.
